How to Notarize and Authenticate Documents for the State of Utah, USA?

Self-Service Guide for Utah Secretary of State Authentication/Apostille

There are two types of authentication from the Secretary of State: Apostille and Certificate of Authentication. An Apostille, also known as "Hague Authentication," can only be used within member countries of the Hague Convention. Since Chinese consulates are currently not part of the "Hague Convention member countries," documents submitted to Chinese consulates in the United States must use a "Certificate of Authentication."

Utah Authentication Processing Reminders

To obtain a Hague Apostille or Authentication from the Salt Lake City Lieutenant Governor's Office, please carefully read the following notes to ensure your documents are acceptable:

Guidelines for Birth and Death Certificates: Must be issued by the Office of Vital Records and signed by the State Registrar, Janice L. Houston or Barry E. Nangle.

Guidelines for Marriage Certificates and Certificates of Single Status: Must be issued by the County Clerk's Office where the marriage took place.

Guidelines for Divorce Decrees: Must be issued by the court and signed by a judge or court clerk. Recommended court list:

Guidelines for Free Sale Certificates: Must be issued by the Utah Department of Agriculture.

Guidelines for Police Clearance Documents: Should be issued and authenticated by the police department.

Guidelines for Business Documents: Must be notarized at the Department of Commerce. Note: Certified copies alone are not accepted for Hague Apostille.

Guidelines for Notarized Documents: Must include original signatures, seals, dates, and the notarial act (notary statement), including the state and county where the notarization took place.

Academic Record Guidelines: Including the University of Utah, Brigham Young University, Utah State University, Weber State University, Utah Valley University, and Southern Utah University. Please contact your school's registrar, principal, or administrative personnel and request a notarized copy of your diploma or transcript.

Documents commonly authenticated or Apostilled in Utah include: birth, marriage, divorce, and death certificates; articles of incorporation; business charters; powers of attorney; diplomas; and transcripts.
