Whether a Chinese citizen or a U.S. citizen passes away in the United States, the funeral home at the location of death in the U.S. is responsible for applying for a death certificate for the deceased's family. This death certificate is typically issued by the state's Department of Health. If a U.S. death certificate needs to be reapplied for, it can be directly requested from the Department of Health Vital Records in the state where the death occurred.
When a Chinese citizen passes away in the United States, and the deceased's family handles matters and inheritance in China, Chinese authorities will require the family to provide a death certificate authenticated by the Chinese embassy or consulate in the United States. Only a death certificate authenticated by the Chinese embassy or consulate in the U.S. will be recognized as genuine and valid by domestic institutions. Many people inquire about how to notarize a U.S. death certificate. Since a U.S. death certificate is a government-issued document, it cannot be processed through notarization procedures for use in China. Instead, it must undergo a three-level authentication process.

Reminder: The original death certificate must be applied for by the deceased's immediate family or an entrusted lawyer.
Steps for Authenticating a U.S. Death Certificate:
The steps for the three-level authentication process are as follows. You can adjust the process based on your specific situation.
1. County Clerk authentication of the U.S. death certificate. (Agency service available)
2. Secretary of the State authentication of the U.S. death certificate. (Agency service available)
Secretary of the State authentication is divided into two types: Certificate and Apostille. For documents to be used in China, the Certificate type is required. If the authentication type is Apostille, the Chinese embassy or consulate in the U.S. will not accept it. Processing times vary by Secretary of the State office. State government processing typically takes 2–3 weeks, with some states offering expedited services and others not. (For specific processing times by state, please contact customer service for details.)
3. U.S. Department of State authentication of the U.S. death certificate. (Agency service available)
Currently, the processing time for Department of State authentication is lengthy, typically 3–4 months, which significantly increases the difficulty of the application. You can entrust us to handle this step.
4. Authentication by the Chinese embassy or consulate in the U.S. (Agency service available)
Submit the U.S. death certificate authenticated by the Secretary of the State or the U.S. Department of State to the Chinese embassy or consulate in the U.S. to complete the final step of the U.S. death certificate authentication process.
U.S. Death Certificate Authentication Required Materials:
1. Original death certificate and a copy
2. Completed "Application Form for Notarization and Authentication"
3. Copy of the agent's passport (Chinese citizens must also provide the original and a copy of their legal U.S. residence permit, such as a Green Card, I-20, H1B, etc.)
Note: Generally, only the page with the photo in the passport is required. However, if the passport has been renewed or contains annotations, the relevant pages should also be copied.
